SEIU 668 Operations Specialist – Harrisburg, PA
The Operations Specialist reports directly to the Office & Project Manager and is responsible for performing information technology and advanced administrative support. Assists the Office & Project Manager to ensure that all database management functions operate effectively and efficiently. This position requires the ability to work independently and prioritize routine tasks and special projects and assignments.
Must have the ability to communicate accurately and clearly both orally and in writing. Must have excellent organizational skills and with attention to detail for accuracy. Excellent problem solving skills also required. Possess strong capacity to work with deadlines. A critical skill will be ability to provide training for individuals at all levels including but not limited to the ability to deliver MemTrack end-use training.
Must have proven ability to work with all levels of staff. Must be able to maintain a high level of confidentiality of member information.
Must be willing to work irregular hours, including weekends when necessary. Must be flexible to work evening hours depending on the technical needs or develop and/or generate reports for staff, management, and officers.
Duties and Responsibilities
The basic responsibilities of the Operations Specialist Position in the Harrisburg Office include, but are not limited to:
Responsible for the database system at the highest level, along with the Office & Project Manager.
Manage, monitor, and maintain the requests for data and information using the Union’s customized membership database application. Gather and interpret relevant member data and information. Clean and prepare data required for all reporting requirements.
Filter and âcleanâ data, and review computer reports, printouts, and performance indicators to locate and correct code problems.
Assist the Office & Project Manager with monitoring fluctuations in data to determine anomalies or problems and interpret information.
Interpret data, analyze results using statistical techniques and provide ongoing reports.
Test and recommend best practices and data-driven standards for database programs and/or applications.
Investigate, diagnose, and resolve database related incidents as needed.
Perform advanced level Operations related tasks and technical user support as assigned.
Organize and complete administrative and/or database projects, as assigned, with minimal supervision.
Perform daily operations tasks which support functions of Union’s membership data processing system, including daily, nightly, and month end processing, computer operation, report preparation, and other relevant technical support roles.
Facilitate grievance processing and coordination using electronic processing tools, to include monitoring timelines, tracking the status, and reporting. Serve as liaison between the staff director, staff attorney, and business agents to enforce grievance policy. Train appropriate staff on the electronic grievance database, conduct on-going evaluations of the electronic grievance database and implements changes and/or makes recommendation where appropriate. Serve as the point of contact between the Commonwealth and the Union.
Provide emergency liaison assistance to members when the assigned business agent is not available so that the assigned business agent can follow through on any next steps.
Assist the Office & Project Manager with managing administrative projects of moderate complexity with minimal supervision.
Performs a variety of routine daily tasks; reviews reports, prepares correspondence; participates in special projects.
Troubleshoot problems related to the Union’s customized membership database application.
Process membership data requests from officers, management, and staff in a timely fashion.
Performs advanced administrative and technical duties, as required.
Other duties as assigned.
Education and Experience
- Bachelors degree or relevant database management work experience.
- Two years administrative experience.
- Knowledge of the labor union.
- Basic understanding of grievance processing.
- Experience generating ad hoc reports.
- Demonstrated proficiency in preparing reports, correspondence, and business documents using Microsoft Word and Excel.
Starting Annual Salary
$59,699 with a generous benefit package.
